How to Start a Dog Daycare: The Complete Operational Playbook

Dog daycare is one of the highest-margin businesses in pet services — but only if you nail the operations from day one. This is the operational playbook we'd hand a friend opening a daycare in 2026.

1. Set your capacity caps before anything else

The single biggest operational mistake new daycares make is overbooking. A 2,000 sq ft facility with eight staff hours scheduled cannot safely run 50 dogs — and the day you try will be the day a fight breaks out.

Calculate your capacity from two angles:

- **Square footage:** US industry standard is roughly 75–100 sq ft per dog of indoor play space. A 2,000 sq ft play area should top out at 20–25 dogs. - **Staff ratio:** 1 staff member per 10–15 dogs is a hard ceiling. Below 1:10 is best practice for most temperament mixes.

Whichever number is lower is your real cap. Configure that cap in your booking software — don't try to enforce it manually.

2. Build a vaccine compliance system on day one

Two non-negotiables: rabies and DHPP. Bordetella is industry-standard but increasingly some daycares accept titer tests in lieu. Track expirations *and* automatically block bookings when a vaccine is expired. The cost of letting an unvaccinated dog into your facility — even by accident — is six-figure liability.

A modern booking platform handles this for you: ours surfaces expired vaccines at the moment of booking and emails parents 30, 14, and 7 days before expiry.

3. Design your drop-off flow

The drop-off flow is where every operational problem either gets caught or carried into the day:

- Front desk verifies identity and vaccines (or trusts the system to flag issues) - Captures any meds, feeding instructions, special notes for today - Hands off to floor staff with the dog plus the day's notes

If your front desk is doing all this on paper, you're going to lose at scale. Move it to a tablet-based system.

4. Pricing models that actually work

Two pricing models dominate:

**Package punch-cards.** 10-day or 20-day passes. Lower per-day cost, paid upfront. Customers feel committed. Ideal for daycare because it locks in revenue.

**Monthly memberships.** Unlimited daycare for a flat monthly fee. Highest LTV per customer. Works when your facility has enough capacity that "unlimited" doesn't actually break you.

Most successful daycares offer both. Avoid hourly billing — it's a no-show magnet.

5. Staffing thoughtfully

Staffing math: you need cover for a 7am open through a 7pm close in most markets. That's two shifts. Plus weekends. Plus boarding cover if you're doing both. Roughly: a 25-dog daycare needs 4–5 part-time staff at minimum.

Hiring tip: dog people are easy to find but business-disciplined dog people are not. Look for prior pet retail or vet tech experience over "I love dogs" — every applicant says they love dogs.

6. Daily operational rhythms

The best daycares run on rhythm:

- 7am open + first wave drop-off (peak chaos — 3 staff minimum) - 9am settled, group play - 11am rest period - 12pm structured activities - 1pm rest period - 3pm second-half play - 4pm pickup begins - 7pm close

Build pickup notes (photos, behavior summary, "had a great day with…") into every pickup. Parents love them and they take 30 seconds in good software.

7. The tools we'd start with

You'll need: booking + capacity tracking, vaccine compliance, package billing, parent updates, and incident reporting. The simplest path is one platform that does it all.

[Canine365 covers daycare end-to-end](/dog-daycare-software) — capacity caps, vaccine reminders, package billing, drop-off forms, photo updates to parents — for $69/mo on the Professional plan. [Try it free for 5 days.](/register)

8. The metric that matters most

Once you're open, the metric to obsess over is **utilization rate**: dogs in daycare today / capacity. Below 60%, you're not making money. 75%+, you're solid. 90%+, raise prices.

Most daycares look at revenue first. That's a lagging indicator. Utilization rate tells you the truth in real time.
